How to Apply
2025 Juried Undergraduate Exhibition
Applying to the Juried Undergraduate Exhibition occurs via the online platform Cafe, a professional online platform for entering exhibitions (short for Call for Entries). There is a variety of information that you will need about yourself and your artwork to apply. Follow these instructions to be prepared when you go to Cafe to submit your artwork.
To apply, follow these steps.
Step ONE
Determine which pieces of work you will submit.
Remember that selection of artwork for the exhibition is determined by the juror.
- Up to 4 individual entries are allowed, with up to 5 additional entries as part of a team
- Work must have been created between August 2024 and September 2025.
- You must be a currently enrolled student in the School of Art and Design (BFA Art, BFA Art Education, Art or Art History Minor)
Step TWO
Gather information.
- Personal Information:
- Your Banner ID
- ECU email address
- Artwork information: For EACH artwork you plan to submit
- Title of the Work
- Medium (materials used, such as digital painting, mixed media collage, aluminum, cyanotype, archival print, etc.)
- Dimensions in inches (width × height × depth)
- Price/Value of the Artwork
- Is the Artwork for Sale? Yes or No
- Year completed
Step THREE
Shoot, edit, and/or select an image or video for each artwork
If you do not yet have images of your artwork, you can watch this tutorial. The metals and ceramics areas have setups for photographing artwork. Contact Tim Lazure (metals) or Jim Tisnado (ceramics) if you wish to photograph your metals or ceramics artwork. Additionally the Lighting Studio (room 1112 Jenkins) is staffed by photo graduate students who can assist you in photographing your work in the studio.
- Select an image or video that best showcases your work.
- Check your images to make sure they meet the following specifications. If your files do not meet these specifications, utilize the appropriate software to prepare your files. For still images, Preview is a simple tool to use.
- Images:
- File Type: JPEG or JPG only.
- File Dimensions: 1,200 pixels or greater on the longest side.
- File Size: Under 5 MB.

- File Type: MOV, MP4, WMV, 3GP, AVI, ASF, MPG, M2T, MKV, M2TS.
- File Size: under 100 MB.
- Resolution: minimum 640 x 480, maximum 1920 x 1080
- Aspect Ratio: 4:3 or 16:9
- Bit Rate: recommended above 240 kbps
- Frame rate: minimum 12 fps, recommended 30 fps
- OR — Link to video online:
- If your video is publicly available online, you can enter the URL to embed the video in your portfolio.
- Supported URLs: YouTube, Vimeo
- Note: Ensure the linked video is set to be shared publicly. Your video will not play if it is set to private.
4. Organize your images so that they are easy to find, identify, and upload to Cafe. For example, place all of your images into one folder and use a simple naming convention, such as: UnicornBrooch.jpg, SparklePrint.jpg, FancyLogo.jpg, etc.
Step FOUR
Log into Cafe.
First time users: If this is your first time using CaFE, click Artist Sign Up and complete the free registration form. You must be registered before you can log in and apply to a call for entry.
Returning users: If you already have a CaFE account, click Login. Existing users may proceed to log in and apply to a call for entry. If you don’t remember your password, use the forgot password link.
For Team users/collaborative entries: If you are submitting a collaborative piece, you will need to create a Team account. Each collaborative team will need to create its own account.
Step FIVE
Add images/videos to your account.
- Click the My Portfolio link.
- Click the Upload Media button. Select a file type to upload: “Image” is the default. You may choose Audio or Video as the file type if you wish to start there.
- Click the Choose File button.
- Navigate to the place on your device where your image or files are stored. Choose the image/file of the artwork you wish to upload to your My Portfolio page.
- Once selected, complete the artwork description form using the information from Step TWO.

- Alternative text describing the image (this helps users with visual impairments who rely on screen readers to interpret images)

- Price/Value of the Artwork
- Year completed
- Primary discipline (for Cafe use only)
- Art in Public Spaces – choose no
- Description (optional) Feel free to add details about your piece to provide more information to the juror and gallery staff
- Click the Add to My Portfolio button. Successful uploads produce a thumbnail version. The upload progress takes only a few seconds depending on internet speed.
- After the first successful upload, click Action and choose Upload Media to repeat the process for each image of an artwork you wish to upload to your portfolio.
Step SIX
Apply to the Exhibition.
- Click the Apply to Calls link.
- Use the search bar to search for “School of Art and Design 2025 Juried Undergraduate Exhibition.”
- Once you’ve located the call for entry, click the Apply Now button to start the application form questions.
- Using the information you’ve compiled from Step TWO, fill out an entry form. Select artwork (images/videos) from My Portfolio.
Step SEVEN
Check out
Once you have completed the form questions and work sample requirements, you are ready to submit. At this stage you have three options: Checkout, Back to Entry, and Preview.
- Click I’m Ready to Checkout to finalize and submit your application.
- Click Back to Entry if you need to make edits or changes and you are not yet ready to submit.
- Click Preview if you need to see how the application will look after you have submitted it.
Note: This is a free entries but you must complete checkout to fully submit the application. You cannot make changes to a submitted entry without contacting the administrator of the call.
Congratulations! You’ve just applied to the Undergraduate Juried Exhibition!
